Main Purpose of Job

The Quotes Administrator provides quotation support across the full range of Global Lingo services: translation, interpretation, transcription and minute taking. Sitting within the project management team, this person works closely with multiple stakeholders across the organization, providing first line support to incoming web, telephone, and email queries from potential and existing customers. This person will use a range of tools to produce accurate and timely quotations, including CAT tools, Translation Management Software, multimedia software, computer software, and business management systems (including Salesforce). 

Job Responsibilities


  • Provide a professional, dedicated and customer focused service to all customers and colleagues in correctly interpreting requests, providing a specification of requirements and ensuring costs are received in a timely manner.
  • Use schedule of rates or other means to produce quotations to ensure value for money and adherence to company procedures and policies
  • Provide professional quotations that meet the needs of all customers and colleagues and have required levels of details to allow an informed decision to be made
  • Provide professional communication, both verbally and written, to all stakeholders, ensuring a high degree of accuracy at all times in all communications
  • Liaise with the Sales and operations colleagues to ensure that the specification and quote details are accurate and consistent and that the quote is of the highest accuracy and detail
  • Liasing with the Resourcing and Quality Assurance department to obtain buy-in costs and assess feasibility of customer specifications
  • Using schedules of rates, Resourcing department information and general benchmarking information, ensuring that in all cases both the company and the customers are getting the best value for money
  • Proactively communicate with customers giving relevant and timely information
  • Support the operational teams by giving guidance and advice on specifications and pricing
  • Support and utilise documents and processed contain within the Sales and Quoting function
  • Support Project Management team members as necessary to complete localization activities


  • Review and analysis of source materials in order to provide accurate quotations
  • Management of Media (audio/video/multimedia/graphic/art) files and software files, HTML, XML
  • Use Business Management systems to prepare quotations (SalesForce and GloZone)
  • Use CAT tools and other translation tools to prepare quotations
  • Use of multimedia software and localization processes

The role would suit anyone who is keen to embark on a career in the localisation industry, with a keen interest in languages. Possible career paths include localisation project management, linguist management and operations support.
